Instantly HubSpot Integration: What Syncs, What Doesn't, and What to Set Up First

Instantly can send a lot of cold email. Whether HubSpot stays clean while it does is up to how you connect the two.

Instantly connects to HubSpot natively. You can import HubSpot lists into campaigns, and Instantly Automations can react to HubSpot contact and deal changes and write contacts, tasks or notes back. To log every send and reply on the HubSpot timeline, Instantly's own docs point to a sync tool like OutboundSync or Zapier.

Firms sending real cold email volume across several inboxes that need warmup on all of them. Agencies, consultancies, MSPs. HubSpot is the CRM and it's staying the CRM.

Instantly's Growth plan is $47 a month and includes unlimited email accounts and unlimited warmup. That's the reason people pick it. You can add sending inboxes without the bill climbing per seat.

Who it's not for: a founder sending 20 personal follow-ups a week. If you already pay for HubSpot Sales Hub, sequences may cover that. Plain Gmail might too. Don't buy a volume tool for a volume problem you don't have.

Instantly is cold email software. It sends across many mailboxes, warms them up, includes a B2B lead database called Lead Finder, and pulls replies into one inbox it calls Unibox.

The trial is 14 days and starts when you sign up. No card. You get 2 email accounts, 250 uploaded leads, 1,000 campaign emails and 1,000 welcome credits. When it ends, warmup, accounts and campaigns pause and nothing is charged. One thing to know: Instantly says a trial account that's never upgraded gets deleted after it expires. Don't build your only copy of a list in there.

Pricing: Outreach plans start at $47 a month (Growth). The pricing page splits things into Outreach plans, Credits plans and Bundles, so read it slowly before you pick.

This is the part that decides whether Instantly helps your HubSpot or quietly makes a mess of it.

There are two HubSpot connections inside Instantly's Integrations settings, and they do different jobs:

  1. 01"Old HubSpot" is for importing leads from HubSpot into Instantly.
  2. 02"New HubSpot" is for exporting Lead Finder leads to HubSpot and for using HubSpot inside Automations.

If import works but your automation can't see HubSpot, you probably connected only one of them.

Getting HubSpot contacts into Instantly

You build a list in HubSpot, then pick it from "Import from HubSpot" inside a campaign. You map each column: Email to Email, personalization fields to custom variables, everything else to "Do Not Import."

There's a duplicate check across campaigns and lists. Leave it on. You can also verify emails during import for 0.25 credits per lead.

Map only the fields the campaign actually uses. Every extra field is one more thing to keep straight later.

Automations with HubSpot triggers and actions

This is the native connection doing real work. Instantly calls it two-way.

  • HubSpot triggers: contact created, updated or deleted. Deal created, updated or deleted. Deal association changed. Tasks, notes and communications created.
  • HubSpot actions: create or update a contact, create a task, create a note, find a contact, and a few more.
  • Instantly triggers: lead replies, lead interest status changed, email bounced, email sent, and others.

A pattern that keeps HubSpot honest: lead marked Interested in Instantly → create or update the HubSpot contact → create a task for the owner. Only people who said yes land in your CRM.

Instantly also says automations only fire on events after you turn them on. Nothing backfills.

Logging sends and replies on the HubSpot timeline

If you want every sent email and every reply on the contact record, the native Automations aren't the whole answer. Instantly's help center walks you through OutboundSync for that. It's a third-party HubSpot app that takes Instantly webhooks and logs sent emails, replies and lead status changes into HubSpot. Instantly also has a Zapier recipe that creates a HubSpot contact when a lead is marked Interested.

OutboundSync, which sells the alternative, says Instantly's native activity sync is one-way. It also says it needs Instantly's Hypergrowth plan or higher because it relies on webhooks and the API. I haven't confirmed that plan requirement on Instantly's own pages. Ask Instantly before you buy for it.

One more from OutboundSync's own FAQ: if you run their sync and Instantly's native connector for activity at the same time, you can double-log events on the same contact. Pick one source for timeline activity.

What I'd set up first

  1. 01Decide which system owns lifecycle stage. One. If Instantly automations and HubSpot workflows both write it, you'll never trust that field again.
  2. 02Build a HubSpot "do not contact" list. Customers and anyone in an open deal. Keep those people out of every campaign. A cold email to a current customer is the fastest way to find out who's watching.
  3. 03Map only the fields you'll use. First name, company, the one personalization field. Not 40 properties.
  4. 04Create HubSpot contacts on a positive reply, not on every send. That's my recommendation, not an Instantly rule. If every lead you email becomes a HubSpot contact, your database fills with people who never answered, and your contact counts go up with them.

If your portal already has duplicates or lifecycle stages nobody's touched in two years, fix that before you connect anything.

Pros

  • Unlimited email accounts and warmup on the $47 Growth plan.
  • No-card 14-day trial that pauses instead of charging you.
  • Native HubSpot triggers and actions in Automations, so a reply can create a task for the owner without a third tool.
  • Duplicate checks on HubSpot import.

Cons

  • Full activity logging on the HubSpot timeline means adding a sync tool. Another bill, another connection to maintain.
  • Two HubSpot connections with different jobs. Easy to connect the wrong one.
  • Instantly doesn't spell out which plan covers the HubSpot import connection.
  • Pricing is split into Outreach, Credits and Bundles. It takes a minute to figure out what you're actually buying.
  • Clean your HubSpot contacts and lifecycle stages first
  • Buy separate sending domains, not your main one
  • Decide who owns replies, and where they get worked
  • Ask Instantly support which plan includes the HubSpot connection you need

Two honest alternatives:

  • If you want HubSpot to log sends and replies natively without a sync tool, look at lemlist (also an affiliate link). Its HubSpot integration logs sent emails and replies as HubSpot email activity. The full side-by-side is on Instantly vs lemlist.
  • If you need a contact database more than sending volume, Apollo is the better starting point.

Does Instantly integrate with HubSpot?

Yes. Instantly has a native HubSpot integration that it built itself. You can import HubSpot lists into campaigns and run Automations that react to HubSpot contact or deal changes. To log every sent email and reply on HubSpot contact timelines, Instantly's help center points to a sync tool such as OutboundSync, or a Zapier setup.

Is the Instantly HubSpot sync two-way?

Partly. Instantly describes its HubSpot Automations as two-way: HubSpot events can trigger Instantly actions, and Instantly events like a reply can create HubSpot contacts, tasks or notes. Logging every send and reply on the timeline is a separate job. Instantly's docs hand that to OutboundSync, and OutboundSync calls Instantly's native activity sync one-way.

Can I import a HubSpot list into Instantly?

Yes. Connect the "Old HubSpot" integration, build a list in HubSpot, then choose "Import from HubSpot" inside a campaign. You map each field and can skip duplicates across campaigns and lists. Verifying emails during import costs 0.25 credits per lead. Exclude customers and open deals before you send anything.

Do I need HubSpot Sales Hub to use Instantly?

Instantly doesn't publish a HubSpot edition requirement, so check with Instantly support for your setup. Its import and Automations work with HubSpot contacts and deals. If you already pay for Sales Hub sequences and you only send a handful of personal follow-ups a week, you may not need Instantly at all.

Is there an Instantly free trial?

Yes. It's 14 days, starts when you sign up, and needs no credit card. You get two email accounts, 250 uploaded leads, 1,000 campaign emails and 1,000 credits. When it ends, accounts and campaigns pause and nothing is charged. Instantly says trial accounts that never upgrade are deleted after they expire.

Instantly or HubSpot sequences: which should I use?

Use HubSpot sequences for low-volume, personal follow-up from the inbox you already have. Use Instantly when you're sending cold email at volume across several warmed-up mailboxes on separate domains. Plenty of teams run both: Instantly for the first touch, HubSpot for the deal once someone replies.

The short version

Instantly fits firms that send multi-inbox cold email and live in HubSpot. Import and Automations are native. If you need every email on the timeline, plan on a sync tool.

Clean the portal before you connect the pipe.
